This Privacy Policy explains how Athletes2Events, doing business as A2E ("A2E," "we," "us," or "our"), collects, uses, shares, stores, and protects information through our tournament management platform, websites, event pages, registration flows, administrative tools, scoring tools, and related services.
1. Information We Collect
We may collect information directly from users, tournament organizers, teams, parents, coaches, score administrators, college coaches, and event participants, including:
- Account information such as name, email address, phone number, password, organization, role, and login activity.
- Event and team information such as team name, club, age group, division, coach details, manager details, roster information, application status, schedule conflicts, and event questions.
- Player and participant information such as player name, birth date or age group, roster details, jersey number, eligibility information, documents, waivers, and check-in materials when provided by a team or organizer.
- Payment information such as transaction amount, payment status, refunds, coupons, payment method type, billing details, processor identifiers, and chargeback/dispute information. Full card or bank account numbers are handled by payment processors such as Stripe and are not intended to be stored by A2E.
- Communications such as support requests, demo requests, announcements, emails, text messages, and event-related messages.
- Technical information such as IP address, device type, browser type, operating system, pages viewed, log data, cookies, and similar diagnostic information.
- Location-related information when needed for event operations, field directions, scoring workflows, security, fraud prevention, or user experience. We do not use location information for unrelated advertising purposes.
2. How We Use Information
We use information to provide, operate, secure, and improve A2E, including to:
- Create and manage user accounts.
- Support event setup, team applications, roster management, scheduling, scoring, standings, reports, and public event pages.
- Process payments, refunds, chargebacks, invoices, receipts, and transaction records.
- Send event notices, roster reminders, schedule updates, scoring updates, support responses, demo follow-ups, and administrative messages.
- Help tournament organizers administer their events and communicate with teams and participants.
- Detect, prevent, and investigate fraud, abuse, security incidents, unauthorized access, and technical problems.
- Comply with legal, accounting, tax, dispute, and payment processor obligations.
- Analyze and improve platform performance, usability, reliability, and product functionality.
3. How Information Is Shared
We may share information as needed to provide A2E and support event operations, including with:
- Tournament organizers, site administrators, and authorized event staff for events you register for, manage, score, or administer.
- Team managers, coaches, parents, players, or public schedule viewers when information is part of event registration, rosters, schedules, standings, field assignments, or public event pages.
- Payment processors such as Stripe for payment processing, fraud prevention, refunds, chargebacks, and compliance.
- Service providers such as hosting, storage, email, SMS, analytics, security, support, and infrastructure vendors.
- Government authorities, courts, regulators, payment networks, or law enforcement when required by law or necessary to protect rights, safety, security, or platform integrity.
- Business successors in connection with a merger, acquisition, financing, restructuring, or sale of assets, subject to appropriate confidentiality or transfer obligations.
We do not sell personal information in the ordinary sense of exchanging it for money. If our use of analytics, advertising, or similar tools is considered a "sale" or "sharing" under applicable privacy laws, users may contact us to make applicable privacy requests.
4. Children and Minor Participants
A2E is used in youth sports contexts, so information about minors may be submitted by parents, guardians, team managers, coaches, clubs, or tournament organizers for event administration. A2E is not intended for unsupervised use by children under 13. If we learn that we collected personal information from a child under 13 without appropriate consent or authorization, we will take reasonable steps to delete or address that information.

5. Cookies and Similar Technologies
We may use cookies, local storage, pixels, analytics tools, and similar technologies to operate the platform, maintain sessions, remember preferences, understand usage, improve services, and support security. You may adjust browser settings to limit cookies, but some platform features may not work correctly.
6. Data Retention
We retain information for as long as needed to provide the platform, support event operations, maintain transaction and event records, resolve disputes, comply with legal obligations, enforce agreements, prevent fraud, and maintain backups. Retention periods may vary depending on the type of information, user role, event status, payment requirements, and legal obligations.
7. Security
We use reasonable administrative, technical, and organizational safeguards designed to protect information. No system is perfectly secure, and we cannot guarantee that unauthorized access, loss, misuse, or disclosure will never occur.
8. Your Choices and Privacy Requests
Depending on where you live and the laws that apply, you may have rights to request access, correction, deletion, portability, restriction, or information about how your data is used or shared. You may also be able to opt out of certain communications or certain data uses.
To make a privacy request, contact support@athletes2events.com. We may need to verify your identity and may need to coordinate with a tournament organizer if the information is controlled by that organizer.
9. California Privacy Notice
California residents may have additional rights under California privacy laws, depending on whether those laws apply to A2E and the specific relationship involved. Categories of personal information we may collect include identifiers, commercial information, internet or network activity, geolocation-related information, professional or role-related information, and sensitive information submitted for event administration. We use and disclose these categories for the purposes described in this Policy.
California residents may contact us to request more information, access, correction, deletion, or applicable opt-out rights.
10. Third-Party Links and Services
A2E may link to third-party websites, payment pages, maps, organizer websites, policies, or tools. We are not responsible for third-party privacy practices. Review third-party policies before submitting information to them.
11. Changes to This Policy
We may update this Privacy Policy from time to time. The updated version will be posted on this page with a revised date. Continued use of A2E after an update means the updated Policy applies.
