Payment and Refund Policy

This Payment and Refund Policy explains how payments, processing fees, refunds, cancellations, and disputes are handled when users register for events, submit applications, or make payments through A2E.

1. A2E Is a Platform Provider

A2E provides software and payment-related tools for tournament organizers. Unless expressly stated otherwise in writing, A2E is not the tournament host, event owner, sanctioning body, refund decision-maker, or guarantor of any event, team acceptance, schedule, roster decision, or tournament outcome.

2. Event Fees Are Controlled by Organizers

Tournament organizers set event pricing, application fees, team registration fees, deadlines, acceptance rules, refund windows, cancellation rules, late fees, discounts, coupons, offline payment options, and event-specific policies. Users should review the applicable event policy before submitting an application or payment.

3. Processing Fees and Platform Fees

Online payments may include payment processing fees, platform fees, card network fees, ACH fees, or similar charges. These fees may be charged by A2E, payment processors, banks, card networks, or other financial intermediaries.

Processing fees and platform fees are generally non-refundable unless required by law or expressly stated otherwise. In some cases, payment processors do not return processing fees when a transaction is refunded.

4. Refund Requests

Refund requests for event registration fees should be directed to the tournament organizer unless the event policy or A2E support instructions say otherwise. A2E may help facilitate a refund through the platform when authorized by the organizer, but A2E does not guarantee that a refund will be approved.

Refund eligibility may depend on event deadlines, acceptance status, withdrawal status, waitlist status, cancellation circumstances, payment method, chargeback status, and organizer policy.

5. Team Acceptance, Waitlists, and Withdrawals

Submitting an application or payment does not guarantee acceptance into an event unless the organizer confirms acceptance. Organizers may accept, reject, waitlist, withdraw, or move teams according to event rules. Refunds related to acceptance status, waitlists, or withdrawals are controlled by the applicable event policy and organizer decisions.

6. Event Changes and Cancellations

Events may be changed, postponed, shortened, relocated, rescheduled, or cancelled due to weather, field availability, safety concerns, facility issues, referee availability, low registration, force majeure, public health guidance, governing-body decisions, or other circumstances. Refunds for changed or cancelled events are controlled by the organizer's event policy, except where applicable law requires otherwise.

7. Chargebacks and Payment Disputes

If you dispute a payment with your bank, card issuer, or payment provider, the transaction may be subject to card network, ACH, bank, or processor rules. A2E and/or the organizer may provide transaction records, registration details, policy acknowledgments, and event records in response to the dispute.

Submitting an improper chargeback may result in suspension of access, cancellation of registration, collection activity, or other action permitted by law or event policy.

8. Failed, Reversed, or Offline Payments

If a payment fails, is reversed, is returned, is marked unpaid, or is not received offline, the organizer may treat the registration as unpaid, incomplete, waitlisted, or ineligible. Teams are responsible for confirming payment status before event deadlines.

9. Taxes

Users and organizers are responsible for any applicable taxes, assessments, reporting obligations, or fees related to registrations, payments, refunds, or event operations.
